A real estate sales agency in France: an owner, an assistant and a team of agents. Process'Up's first client, supported since summer 2026.
Before
- The business was run on a shared spreadsheet and scattered tools, with fragile formulas.
- No access rights per person: everyone could see and change everything.
- The same information was entered several times, and follow-ups depended on everyone's memory.
- Agents' commissions, the most sensitive topic of all, relied on those same fragile formulas, with a real risk of error.
What was built
One single base
Contacts, listings, deals, tasks, cash flow and commissions in one place, with a deal pipeline in stages and role-based access (owner, assistant, agent).
Commissions calculated to the cent
An engine that calculates every commission, including when several agents share a deal, and that the agency can adjust without touching the code.
Follow-ups that send themselves
Appointment reminders the day before, multi-step lead follow-ups, lawyer follow-ups, client review requests, deals idle for three weeks flagged, exclusive listings flagged before they expire.
The tasks of every stage
Each time a deal moves to a new stage, the tasks to do land with the right person, with their due dates.
The team's tools connected
Each agent's Google Calendar and tasks, a document folder created for every property, a lead capture form with an automatic acknowledgement, automatic matching between buyers and listings.
A report every Monday
Management receives the state of the pipeline and activity every week, without compiling anything by hand.
How we worked
The audit
Mapping the real flows (leads, listings, deals, commissions) and the leaks, with the agency owner.
Building in waves
First the foundation and the commission engine, then the follow-ups, then the connected tools, each wave tested before the next.
The team's feedback
Every piece of feedback from testing was logged, prioritised with the owner, then delivered or planned for the next version.
The handover
Built-in help on every screen, by role, and up-to-date documentation, so the system lives without depending on us.
Today
- The system has been in production since August 2026, and the shared spreadsheet is archived.
- Follow-ups, tasks and the weekly report go out on their own: follow-up no longer relies on one person's memory.
- Data is hosted in Europe, and everyone only accesses what concerns them.
Anonymised case study: no names, no location. The features described are in production; no savings figure is given here, because it has not been measured yet.
